Julie was correct when she told me that I needed to market my business, I hate prospecting and soliciting new or potential clients. She also correctly identified that as a fear that I have. Anyway I decided to take the bull by the horns and sent out some solicitation letters for the medical transcriptions services I offered. Initially I sent out five, and one person responded and I was excited. I eventually got the gig! I sent out about 17 more, rationalizing that the more the merrier – the greater the response would be, but alas no response! You and I know that it is not always easy to craft solicitation letters and so I have one below that I think is worth sharing, you can add or subtracts from it as you feel led to do. Thank you for taking the time to review this letter of introduction. I am a medical transcriptionist offering medical transcription services to healthcare facilities. Presently, I am targeting radiology facilities.
You may be wondering why you should outsource transcription of your patients’ radiology reports to me? One important reason is this will reduce costs, as it eliminates the need for an in-house transcriptionist.
You can upload your audio or voice files, through the secure file transfer system by accessing the website: Hamilton Medical Transcription.com or send them to me using Dropbox. Once the audio file is securely downloaded and transcribed, it will be uploaded to you via the same system, Dropbox or back to your server if you so desire.
I am available week days for long or short-term transcription projects. My rates are competitively priced at $200 for each report.

Introduction and background
Thank you for taking the time out to talk with me on November 15, 2018, to discuss your transcription needs and my services. Hamilton Medical Transcription Company is a solely owned entity offering medical transcription services. The company is registered with the Registrar of Companies Office in Jamaica. I am pleased to present this proposal to you regarding work schedule, rate for work, turnaround time and confidentiality/privacy associated with my services.
I am available for work on the following days: Tuesdays to Thursdays from 4:30 to 9:30 pm. I would like to have the option of increasing the days and/or hours specified above if such a need should arise and it is mutually agreeable.
Rate for work
Transcription will be done at a rate of $200.00 per report. An invoice will be provided to you for work that is done once per month.
Reports will be submitted within 24 hours.
Preserving patients’ confidentiality and privacy
All files, both audio files and transcribed reports will be erased from my computer within twenty four (24) hours after the completed transcribed report has been submitted to you.
